Special recognition is in order when a customer sends an unsolicited note of thanks and a gift basket recognizing the "continued excellence in service and attention" of a BDP Team. In February, Kate Schoell - Manager, Global Logistics and Trade - HAVI Global Solutions did exactly that.

The Story
Last night BDP customer Chris Fuhrer of Revlon called me at 5:45pm about an urgent issue- BDP and Revlon had an air freight shipment cleared and released sitting at Air France - JFK Airport; however, Air France had no access to AMS, no systems, no fax machine, no email, hence no way of telling if this shipment were released. Meantime, Revlon's inland trucker was waiting at Air France to pick up the shipment.

Air France agreed that if BDP could provide the required documentation showing them the shipment was Customs released, Air France would release the cargo to the trucker.
Chris and Peter re-printed all of the required import documentation and personally drove the documents over to Air France at 7:00pm last night, which allowed Revlon's trucker to pick up the cargo and maintain the scheduled delivery date.

BDP North America-US Post Entry Audit Process goes Green!

Congratulations to Robert Mottier - Regulatory Specialist, BDP SABIC Managed Trade Services (Import Team)-SABIC onsite, Huntersville, NC-US as a BDP Process Improvement Award Winner for developing an upgraded and electronic post entry audit tool that will be implemented to each BDP North Ameria-US Import operation in March 2010. Robert's nomination was formally submitted by BDP Charlotte's Tracy Dunnagan-CHB, QLH, Import Manager and Mike Connors, Director - Charlotte Region.

The following BDP Process Improvement nomination summarizing Robert's audit upgrades in Excel - emphasizing the ease and consistency of data collection / analysis and the immediate operational / compliance gains- was submitted by Tracy Dunnagan, CHB, BDP QLH, Import Manager - BDP North America-Charlotte-US.

Robert developed a post import entry audit tool which that was communicated to the BDP Qualifying License Holders (QLH) as a standard operating procedure beginning in March 2010. This tool will keep BDP file audits 100% consistent for all BDP North America-US import divisions. Weekly file audits allow BDP to determine whether we are meeting desired levels of timeliness, quality, compliance, accuracy and neatness. They also allow us to identify trends in non-conformance which need to be addressed through additional training.

The tool itself is in an Excel format using two worksheets (or tabs). The first tab is a drop down menu containing regulatory audit criteria which include the Top Five reporting issues for CBP. The worksheet is comprehensive and user friendly. It allows the auditor to easily identify non-conformances. Once all criteria have been reviewed the auditor may then indicate any necessary corrective action. This workbook also allows the auditor to identify the cause of any non-conformance. For example, the entry writer, supplier, master carrier, or consolidator. Once workbook page one is completed the auditor has the ability to add the audit results to the database on worksheet 2. The database can be filtered to identify areas where training is needed, to identify issues with a supplier or a particular entry writer.

Another benefit of the Audit tool is that it supports BDP’s Green initiatives. Robert's Excel Audit tool will replace the need for any paper audit sheets and respective data and results will be retained in an electronic format for a period of 90 days.

To summarize, Robert’s development of the new audit tool will
  • Improve overall efficiencies within the file audit process
  • Increase productivity as the audit tool allows for faster auditing in an electronic format
  • Standardize audit data and results
  • Identify risk management opportunities for improved compliance
  • Target specific training needs (within all levels within the import process)
  • Promotes a BDPGreen initiative with a paperless process!

Nicknamed 10+2, this rule requires the electronic submission of 12 data elements to Customs before imported goods even depart from the origin country.

In the last three weeks we have made a significant effort to close all files from the informed compliance period (1 still outstanding). We are now working with a 5 day window on future imports. This puts us in full compliance for the 26th deadline.

BDP Service Excellence 24/7
In March, Ruediger Petroschka, Business Development Director (CEE) - BDP International GmbH will formally recognize Soeren Rueck, Air Import Operations - BDP Frankfurt through our company's Recognized Service Excellence program. Rudi said "Soeren is a big help for Harman Imports -handling all clearances from Asia and the USA- and I would like to highlight this to the world. He works nearly every Sunday to get everything done and is wherever Harman needs him to meet the business demand."

We had an extreme workload from end of last year and beginning of 2010, where everyday Soeren was involved with import shipments, managing urgencies, and coordinating hand carries. Whenever something needed to be done, Soeren was on standby, working late in the evenings and on the weekends to fulfill all needed actions to bring the cargo in time to Harman. Further, Soeren breaks down shipments -even splitting the shipments- to get the deliveries done in time by courier and / or inland delivery.

Most important, Peter Becker, Import Manager, Harman Becker Automotive Systems GmbH (HBAS) remarked that "Soeren is a very good helping hand," further endorsing Soeren's Service Excellence commitments to BDP and Harman. Harman's complimentary emails are mostly in German which I receive in Copy. This communication is always in a very good relation to our customer to fulfill Mr. Becker's needs and requests.
