BDP North America-US Post Entry Audit Process goes Green!

Congratulations to Robert Mottier - Regulatory Specialist, BDP SABIC Managed Trade Services (Import Team)-SABIC onsite, Huntersville, NC-US as a BDP Process Improvement Award Winner for developing an upgraded and electronic post entry audit tool that will be implemented to each BDP North Ameria-US Import operation in March 2010. Robert's nomination was formally submitted by BDP Charlotte's Tracy Dunnagan-CHB, QLH, Import Manager and Mike Connors, Director - Charlotte Region.

The following BDP Process Improvement nomination summarizing Robert's audit upgrades in Excel - emphasizing the ease and consistency of data collection / analysis and the immediate operational / compliance gains- was submitted by Tracy Dunnagan, CHB, BDP QLH, Import Manager - BDP North America-Charlotte-US.

Robert developed a post import entry audit tool which that was communicated to the BDP Qualifying License Holders (QLH) as a standard operating procedure beginning in March 2010. This tool will keep BDP file audits 100% consistent for all BDP North America-US import divisions. Weekly file audits allow BDP to determine whether we are meeting desired levels of timeliness, quality, compliance, accuracy and neatness. They also allow us to identify trends in non-conformance which need to be addressed through additional training.

The tool itself is in an Excel format using two worksheets (or tabs). The first tab is a drop down menu containing regulatory audit criteria which include the Top Five reporting issues for CBP. The worksheet is comprehensive and user friendly. It allows the auditor to easily identify non-conformances. Once all criteria have been reviewed the auditor may then indicate any necessary corrective action. This workbook also allows the auditor to identify the cause of any non-conformance. For example, the entry writer, supplier, master carrier, or consolidator. Once workbook page one is completed the auditor has the ability to add the audit results to the database on worksheet 2. The database can be filtered to identify areas where training is needed, to identify issues with a supplier or a particular entry writer.

Another benefit of the Audit tool is that it supports BDP’s Green initiatives. Robert's Excel Audit tool will replace the need for any paper audit sheets and respective data and results will be retained in an electronic format for a period of 90 days.
