"Over the past several months, Susan Smith, Global Integrations Specialist – BDP Philadelphia IT has been working closely with the BDP Philadelphia DuPont management team in Division 22 for the continued improvement of our DMS/paperless process. Her patience in dealing with wide variety of scenarios the DuPont business uses as well as her willingness to continuously monitor exceptions and breakdowns in the process has led to an efficient, automated process for adding documents to the tool. Over the past few months we have moved from an environment where the users ingested and indexed most of the required documents, to one where most of the documents are being ingested and indexed without user intervention. This successful integration has helped with our morale and productivity, and we thank Susan for her efforts.”

Background
Beginning in 2009, the DuPont Ocean Export division in BDP Philadelphia started Phase 1 of a DMS/paperless process integration project. Most DuPont documents were coming through a local printer, and these hard copy documents were then ingested to a scanner, usually through the help of an intern.

Last summer, Susan Smith, along with BDP Philadelphia IT colleagues Pat Rees and Ty Lee took the scanned process to email and dropped the information in the BDP system to eliminate the paper all together. There were unique business requirements to set up the electronic documents and some trouble shooting to determine how the DMS tool reads the documents. The end result- DuPont now sends a PDF to the BDP Legacy system that replaces the former process of physical print outs.

“I can trust Susan with this project; this was a perception change for me. We’re making great strides with the PDF format, which required a lot of review” said Jason. We use less paper and we’re more productive post integration. It can be a challenge at times to drive and implement new technology since Operational teams are focused on the day-to-day logistical and customer service aspects of the job, said Jason. We’re often limited with time to dedicate to these kinds of initiatives. Susan, however, understood the business requirements and took complete control of the project.”

The BDP DuPont division utilizes the new PDF tool for an estimated 95% - 98% of its air and ocean export front-end business processes. The overall implementation benefits are a win-win for all!
