Delivering "Over the Moon" Customer Service
Michael Worms, Senior Procurement Manager - BDP International GmbH, shared exciting news from a December 2010 meeting with BDP customer SIG Combibloc Group in Linnich, Germany:

"We had yesterday a meeting with Mr. Müllers at SIG in Linnich. He told us that he is very satisfied with the performance of BDP in 2010 and as a result he will give BDP in 2011 again the business from Germany to the US and Mexico as well as Thailand to the US. Thanks to everybody and their teams for the support."

In December, five BDP Philadelphia DuPont colleagues were presented with BDP Outstanding Customer Service - Team Dedication Awards for the "team" performance that supported the successful preparation and completion of DuPont's annual, ocean carrier contract bid.
.
"The bid preparations for 2011 were more challenging over previous years" remarked Matt Hawksley, Manager, Strategic Accounts - BDP Philadelphia DuPont Operations. "The complexity was due to the even-more precise data evaluations and audits of ocean carrier rates and allocations, trade lane availability, and transit times. The BDP Philadelphia DTT team and DuPont Titanium Technologies (DTT) business diligently worked together to obtain the most accurate data."

"Further, the DTT business contributes the largest volume of ocean carrier business to the BDP DuPont Operation. The BDP DTT team kept the current shipments on schedule in addition to organizing and evaluating the carrier data. Extra support was extended to DuPont to minimize the bid impact to customers and to optimize the pricing" said Matt. The BDP DTT team put in a considerable amount of extra time due to the chaotic environment by working additional hours, creating work-arounds for existing routings that could no longer be used, and reworking orders due to a select carrier's inability to meet DuPont's advancements.

In mid-November, DuPont extended formal recognition to thank the high-performing BDP DTT team, which in turn, spotlighted our colleagues' achievements in the BDP Recognized Service Excellence program-

BDP team building promotes great customer service
The BDP Philadelphia DuPont Import and New York/JFK Outport teams have a great relationship according to Theresa Garvey, Manager, Strategic Accounts - BDP Philadelphia Import Operation. Even so, the internal recognition for Chris Fusco's outstanding customer service came with much surprise and appreciation.

"This instance was above and beyond our usual good relationship" said Theresa. "Chris went out of his way -using his own money- to expedite the voucher process. Chris made this effort on behalf of DuPont as a customer - an extension to the BDP respect and friendship we share between our teams. Further, it really means a lot to the team when they are recognized for great customer service!"

"Chris Fusco - BDP New York/JFK Outports went into his own pocket to purchase vouchers needed to destroy an import shipment in a quarantine compactor in a timely manner. City Waste Services at the JFK International Airport sells the vouchers but the only payment methods are cash and credit cards, which are only accepted in person. A money order or certificated check would have taken too long considering we needed the vouchers ASAP. Chris withdrew the funds from his personal account to purchase the vouchers from City Waste. This action allowed the BDP Philadelphia DuPont team to schedule an appointment with the USDA for the destruction of the shipment within the short time frame. Chris saved the day!"

To reinforce their commitment to internal Customer Care, the BDP Philadlephia DuPont Import and New York/JFK Outport teams scheduled an office visit in January to meet in person and discuss business solutions. "It makes your work more meaningful and a lot easier when you know one another". Lastly, these teams share team-building camaraderie and fun such as sending surprise treats by inter-office mail. Who knew great customer service could be ... delicious!

I wanted to let you know how appreciative I was how Nicole handled a specific shipment. She had a stack of urgent air freights to do yesterday and when I called about a specific order she stopped what she was doing and filed the entry for me. If that was not enough she prepared all the paperwork and set up the pick up with FedEx Customs Critical, and I had to call her and tell her that the customer had the incorrect address. She had to cancel everything out and prepare new paperwork and contact the carrier. At this point I am sure she was ready to pull her hair out. I then got a call saying that the original address was correct. I had to call back once again and say that she had to change everything back, which was done. I had to let you know how hard she worked on this for us and was pleasant doing it (which I would have had a hard time doing). You are very lucky to have a person of Nicole's caliber on your team.

Two individuals from the BDP Aston office will be presented with Recognized Service Excellence awards for demonstrating great and professional customer service as defined by BDP customer Dorf Keetal. Although the positive feedback spotlights Jasmine's performance, the recognition also extends to BDP Transport Supervisor Steve Reilly. "Their performance was a dual effort" said Lena DeFazio, BDP Aston Import Manager. Steve worked as the transport coordinator to make certain the freight received a priority booking and allow the freight to reach the US within the time frame required by the customer."

Dorf Keetal is an export account handled in our BDP Houston-JFK Blvd location. This was the first import entry coordinated by BDP International on the company's behalf. "Jasmine and Steve did a phenomenal job and delivered outstanding customer service” said Lena. BDP was requested to return the ISO tank with product back to the US. Jasmine and Steve went above and beyond in Lena's words, because "it was important for BDP by opening the door for future business."

Simply said, their service excellence is a fine example of The BDP Experience!

In addition, Joe has been integrating select data elements from BDP Vu to tie into the BDP ISF 10 + 2 application. The desired result is to piggy-back data between the two programs to drive internal efficiencies and support consistent data.

BDP Philadelphia IT - Tradepaq (EDM5) Integrations

Dedicated Focus drives Positive Results

On November 30, Mary Jo Flem, Manager, IT Project Management Office (PMO), BDP Philadelphia presented RSE awards to select BDP IT, Operational, and Compliance individuals whose collective contributions completed a major IT project that began in April and implemented in July, one month ahead of schedule.

Project Scope
  • Updated the BDP Import logging process from an older version of TradePaq (TradeFormz) to the most recent version (EDM5), and
  • Added the TradePaq functionality to the BDP Legacy Air Export system.

To make this upgrade effective, the team started out by training fellow members of the IT team in the required technical tools (internal IT cross training). This allowed the team to have more developers assist -as we had to create many forms- and it greatly reduced the time frame for the project scope.

In an effort to allow the team to strictly focus on this initiative, the team was sequestered in a BDP Philadelphia training room beginning on Monday, May 21 and they remained in that room until Friday, August 6. This isolation allowed the team to reduce the time allotted for the project as it greatly reduced the normal day-to-day distractions.

The IT team worked with the business owners of the two products (Angie Alleva, Director, Regulatory Compliance - Imports, BDP Philadelphia and Kevin Connor, Manager of Airfreight Transportation, the Americas - BDP Aston) to create training documentation and executed training for all USA operations involved. While training is clearly not an IT function, the support was provided to allow the BPL’s to train the operational teams in the new functionality in a timely manner. These training documents will be posted to BDP University by the IT team to allow operations to have access to refresher courses at any convenient time.

The IT team suggested a process improvement for the air export consol process, which was to have the agent’s set of documents automatically transmitted to the consol agent partner whenever an air consol was closed or CPA posted. This process improvement will offer BDP many returns on the investment as:

1. Documents do not have to be printed and then sent to agent (as scanned documents or faxed documents). Instead, they will be generated in TradePaq and automatically sent to the agent’s email address based on the closing or posting triggers.

2. Destination agents will receive their required documentation consistently and more quickly – to allow their import processes to be coordinated more efficiently.

3. The global settlement accounting process should be more effective as all destination agents will have a full set of documents (including a settlement/reconciliation invoice)in their possession upon close or post of each and every consol.

4. BDP/USA Air Legacy system just became more “green” as we will now greatly reduce the need to print documents.

5. All documents created and/or distributed in TradePaq are automatically ingested into DMS. This greatly decreases the steps in the operational work flow process (as operations will not have to manually add these documents into DMS) plus reduces costs (no physical files to maintain, no external storage of documents with real-time access to documents right on the web.)
